How are confidential documents processed?

Confidential documents are items addressed personally to a specific individual or marked as “confidential.”

Confidential documents are items addressed personally to a specific individual or marked as “confidential.” These include, for example, documents with the following addressations:

  • Personally to an employee

  • Confidential

  • Personal

PEAX automatically identifies such documents during processing. While the document’s content is read, it is not automatically displayed or processed to ensure data protection and the confidentiality of the item.

Distribution via Mail Distribution

Companies that use the Mail Distribution feature distribute confidential documents as follows:

  1. The document is identified as confidential upon receipt.

  2. An authorized person opens the mail distribution system.

  3. The document is assigned to the correct employee based on the recipient.

  4. Only after distribution does the document appear in the corresponding employee’s personal mailbox.

This ensures that confidential documents reach only the intended recipient.

What happens if mail distribution is not used?

Not all companies use the mail distribution feature. If a confidential document is detected and mail distribution is not available, a corresponding notification appears when the document is opened.

Before the document’s content is displayed, you must explicitly confirm that you want to open the document.

This additional security prompt is designed to ensure that access to confidential documents is intentionally confirmed. Every instance of accessing a confidential document is automatically logged.
